MEMORANDUM
To: UAF Deans and Directors
From: Pat Pitney, Vice Chancellor for Administrative Services
Date: March 14, 2014
Subject: UAF Space Utilization and Planning Project
Department Interview Session Scheduling
The University of Alaska Fairbanks, Administrative Services Division (ASD) is conducting a space
utilization study of the Fairbanks Main Campus. UAF has hired Paulien & Associates, a nationally
recognized academic space planning consultant, and Alaska-based Bezek Durst Seiser Inc. (BDS) to
conduct the study.
Campus spaces to be analyzed include learning spaces (classrooms and lab) as well as office, support,
student and public spaces campus-wide. The goals of the study are to reduce off-campus leases,
maximize operational energy savings, space utilization efficiency and coordinated room scheduling. The
results of this study will be utilized by the University to consider various options to optimize existing space
utilization, teaching and research capacity and identify facility renewal opportunities.
A key initial component of the study is to field verify the current use, features and conditions of the spaces
that have been assigned to each department of the University. To do this work, a representative of BDS
will meet with a representative of your department to review existing space assignment plans, to confirm
how each assigned space is being used, and to confirm what hours and days department-assigned
classroom or lab spaces are scheduled for classes, labs or other University related activities. In addition
the BDS representative will need access to some of these spaces to assess condition and amenities and
to see if there are any unique features or instructional equipment setups that could limit functional
capability for potential expanded utilization. It will take between 30 minutes to 1 hour of face-to-face time
to conduct the survey and provide access to some of the designated spaces that are normally secured.
The schedule for the field review sessions is currently set for Tuesday, March 25 through Friday, March
28. Michelle Ward, Executive Assistant for Facilities Services, will be contacting each department to
schedule a one-hour time block between 8AM and 5PM on those dates. If you have any questions
regarding the field review sessions or the Space Utilization and Planning project, please contact Michelle
at 474-6265 or dmward3@alaska.edu.
The UAF Space Utilization and Planning Project will take several months to complete. In parallel with this
effort, Fairbanks-based consultant Glen Kravitz has been asked to evaluate immediate on-campus space
options for departments currently located off-campus with leases expiring soon.
Thank you in advance for your assistance.
